Effective: 2026 Opening Season
1. Payment Structure
Timberglow Getaway uses a two-part payment schedule for all reservations:
At Time of Booking
A 50% deposit is collected at the time of booking to secure your reservation.
This deposit is required to confirm your dome and dates.
Remaining Balance
The remaining 50% balance is due 30 days prior to your arrival date.
Payment will be automatically charged to the card on file unless another arrangement is made in advance.
Failure to complete payment by the due date may result in cancellation of the reservation.
2. Cancellation & Refund Schedule
Cancellation requests must be submitted in writing (email or direct message through the booking platform). Refunds are calculated based on the number of days between the cancellation request and the scheduled arrival date.
A non-refundable $25 cancellation fee is deducted from all refunds. This fee is charged only when a true cancellation occurs — date moves and reschedules are free of charge (see Section 4).

3. Extenuating Circumstances
Timberglow Getaway does not include automatic exceptions for weather, illness, or personal emergencies in this written policy. However, we reserve the right to offer a one-time credit toward a future stay at our sole discretion. Credits are non-transferable and must be used within the same operating season or the following year.
Guests are encouraged to consider travel insurance for added peace of mind.
4. Reservation Modifications (Date Moves)
- One complimentary date change is permitted per reservation — no cancellation fee applies.
- Date changes are subject to availability and must be requested at least 7 days before the original arrival date.
- Rescheduled stays must occur within the same operating season (May–October).
- Modifications requested within 7 days of arrival cannot be accommodated and will be treated as a cancellation, subject to the standard refund schedule in Section 2.
- A second date change request on the same reservation cannot be accommodated and will be treated as a cancellation, with refunds subject to the standard cancellation schedule in Section 2 above.
5. Booking & Payment Fees
Timberglow Getaway believes in transparent, straightforward pricing. We do not charge any of the following:
- Booking fees — there is no additional fee to reserve a dome directly through timberglowgetaway.com.
- Credit card processing fees — we absorb all payment processing costs on your behalf.
The only fee associated with your reservation beyond the nightly rate is the $25 cancellation fee, which applies only if a true cancellation occurs (see Section 2).
6. Platform-Specific Notes
Internal Reference
The above policy applies to direct bookings via timberglowgetaway.com. Third-party platforms have their own cancellation frameworks:
- Airbnb: Select the “Moderate” or “Firm” cancellation policy tier to most closely align with this policy. Avoid “Strict” during the first season.
- Hipcamp: Review platform cancellation tiers and select the closest match. Communicate any differences clearly in the listing description.
Note: Platform policies may supersede this policy for bookings made through those channels.
7. Policy Evolution
This policy is designed for Timberglow's 2026 opening season, when booking lead times may be compressed and guest reviews are being established. As the business matures, this policy will be reviewed and may be updated to include:
- A shorter full-refund window (e.g., 14 days instead of 30)
- Full payment required earlier (e.g., 14 days before arrival)
- Stricter no-refund windows as demand and review base grow
